    The National Professional Teachers' Organisation of South Africa, Western Cape (NAPTOSA WC), is committed to protecting your personal information. This Privacy Policy explains what information we collect, why we collect it, how we use it, and your rights in respect of that information. This policy applies to all personal information processed through our website (naptosawc.co.za), online forms, and member portal.

    2. Information We Collect

    We collect personal information that you voluntarily provide to us, including:

    • Name and surname: to address you correctly in correspondence.
    • Email address: to respond to your enquiries or membership applications.
    • Phone number: to contact you regarding your query or application (optional).
    • Member number: to verify your membership status when you use the member portal.
    • Province and employment information: to route your query to the correct regional office.
    • Message content: submitted via our contact form to allow us to assist you.

    3. Why We Collect Your Information

    We process your personal information for the following purposes:

    • To respond to general enquiries submitted via the contact form.
    • To process and manage membership applications.
    • To provide access to the NAPTOSA member portal and associated services.
    • To send you our monthly newsletter, where you have subscribed.
    • To fulfil our obligations as a registered trade union under the Labour Relations Act.

    4. Retention Period

    We retain your personal information only for as long as necessary to fulfil the purposes described in this policy, or as required by law. General contact submissions are retained for a period of 5 years. Member records are retained for the duration of your membership and for 5 years thereafter, in compliance with applicable labour and financial legislation.

    5. Cookies and Local Storage

    Our website uses browser localStorage (not tracking cookies) to remember your language preference (naptosa-lang) and theme setting (naptosa-theme). These are stored locally in your browser, are never transmitted to our servers, and can be cleared at any time by clearing your browser's site data. We do not use third-party advertising or analytics cookies.

    6. POPIA Compliance

    NAPTOSA Western Cape processes personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA). We collect only the information we need, use it only for the stated purposes, and take reasonable technical and organisational measures to protect it against unauthorised access, loss, or misuse.

    7. Sharing of Information

    We do not sell, rent, or trade your personal information to third parties. We may share information with our national NAPTOSA office where necessary to process your membership or labour matter. We use Supabase (a GDPR and SOC 2-compliant cloud platform) as our data processor for form submissions and member portal data. All data processing agreements are in place where required.

    8. Your Rights

    Under POPIA, you have the right to:

    • Request access to the personal information we hold about you.
    • Request correction of inaccurate information.
    • Request deletion of your information where retention is no longer justified.
    • Object to the processing of your information.
    • Lodge a complaint with the Information Regulator of South Africa.
